YardScan ("we", "us", "our") is operated by Yard Scan Pty. Ltd. (ABN: 26 702 032 040), an Australian business trading as YardScan. We operate the YardScan platform, which provides QR code management and lead capture services for car dealerships.

This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).


1. Information We Collect

We collect personal information in the following categories:

  • Dealership account holders: name, email address, phone number, business name, and billing information (processed by Stripe — we do not store card details).
  • Vehicle buyers (leads): name, phone number, and email address submitted voluntarily through the QR code scan page. A browser cookie (yardscan_visitor) is stored to recognise returning visitors and avoid showing the form again.
  • Usage data: QR code scan events (timestamp, device type, IP address) for analytics purposes.
  • Quote requests: name, email, phone, and business details submitted via the "Get a Quote" form.

2. How We Use Your Information

  • To provide and operate the YardScan platform and subscription service.
  • To share lead contact details with the relevant dealership whose QR code was scanned.
  • To send transactional emails (account creation, password reset, billing receipts) via Resend.
  • To send SMS notifications to dealerships when a new lead is captured, via ClickSend.
  • To process subscription payments via Stripe.
  • To respond to quote requests and support enquiries.
  • To improve the platform through aggregated, de-identified analytics.

3. Disclosure to Third Parties

We share personal information only as necessary to operate the service:

  • Stripe — payment processing (subject to Stripe's Privacy Policy).
  • Resend — transactional email delivery.
  • ClickSend — SMS notification delivery.
  • Railway — cloud hosting infrastructure.

We do not sell personal information to third parties. We do not use lead data for any purpose other than providing it to the dealership whose QR code was scanned.

4. Data Storage and Security

Data is stored on servers hosted by Railway in the United States. We implement reasonable technical and organisational measures to protect personal information from unauthorised access, disclosure, or loss.

Buyer lead data is retained for as long as the associated dealership account is active. Account holders may request deletion at any time (see Section 6).

5. Cookies

We use a single persistent cookie (yardscan_visitor) on the QR scan page to identify returning visitors. This cookie contains a random UUID and does not contain any directly identifiable personal information. It expires after one year.

We do not use advertising or tracking cookies.

6. Access, Correction, and Deletion

You have the right to request access to, correction of, or deletion of personal information we hold about you. To make a request, contact us at [email protected]. We will respond within 30 days.

7. Complaints

If you believe we have breached the Australian Privacy Principles, please contact us first so we can attempt to resolve your concern. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).

8. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will always be available at this URL. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
